My Audit Asssignments

My Audit Assignments is a companion to modONE's Audit function and is where Team Members access audits and corrective actions assigned to them.

Click the My Audit Assignments icon ( ) in the Navigation Ribbon to view all audit assignments.

Select an Assignment

There are three options for selecting an assignment: On-Demand Audits, My Audit Assignments, and My Corrective Actions.

My Audit Assignments

On-Demand Audits

On-Demand audits are a specialized audit type configured by modONE Administrators, allowing Team Members to self-assign tasks. These audits, such as Vehicle Inspections or Quarterly Audit Self-Assessments, can be conducted at frequencies chosen by Team Members or as often as needed.

Clicking "On-Demand Audits" will reveal a list of available audits.

Clicking the "Create" button for the chosen audit initiates an Audit Assignment and redirects the Team Member to the Record Observations module to complete the audit.

My Audit Assignments

My Audit Assignments are those that have been assigned to the Team Member either by their modONE Administrator or self-assigned by the On-Demand audit function.

My Audit Assignments

Assignments are organized by status. Each assignment includes the name of the audit, a brief description of the audit, and the progress of Observations and, if applicable, Corrective Actions.

ModONE's "Manage to Resolution" audits consist of two phases: Observations and Corrective Actions. During the Observations phase, audit questions are answered, and all necessary details are captured. Correct action is required if any deficiencies are identified during this phase (e.g., answering "No" to a question). Each Corrective Action is assigned to a Team Member who will take steps to resolve the identified deficiencies and document the steps taken and the completion date during the Corrective Action process.

My Assignments can be filtered by status by clicking the Status dropdown and choosing a status. By default, Completed/Approved assignments are hidden. Click the checkbox beside the "Hide Complete/Approved" label to show the assignments in that status.

On-Demand audits in the "Not Started" status can be removed by clicking the icon.

Clicking any row redirects the Team Member to the Record Observations module to review/complete the audit.

My Corrective Actions

My Corrective Actions are those that have been assigned to a Team Member during the Observation process.

My Corrective Actions

Corrective actions are organized by status. Each row includes the name of the audit, a brief description of the audit, the audit assignment that originated the corrective action, and the number of remaining actions from the assignment.

My Corrective Actions can be filtered by status by clicking the Status dropdown and choosing a status. By default, Completed/Approved corrective actions are hidden. Click the checkbox beside the "Hide Complete/Approved" label to show the corrective action in that status.

Clicking any row redirects the Team Member to the Corrective Actions module, where they can review and complete the assigned Corrective Action(s).

Record Observations

Clicking an assignment launches the Record Observations module. Here, the assigned Team Member can review and document observations for the audit.

Record Observations

This module is divided into four sections:

Status

The observation status is displayed in terms of percentage completion and compliance (note that the compliance value is only shown when the audit is a "Scored" audit). As the Team Member progresses through the Observation, these values are updated dynamically.

Default Assignee

When the audit type is "Manage to Resolution," a Team Member is assigned a corrective action each time a deficiency is identified.

If the same Team Member is assigned each time, a default assignee can be set by clicking on the Default Assignee dropdown and choosing a Team Member. To filter the list of Team Members displayed when clicking the dropdown, click the icon and choose values from the Location, Job, and Role dropdowns. To reset the filter, click the icon.

When a filter is set, the filter icon is green.

Filters

While working on an Observation (especially for lengthy audits), it is sometimes helpful to narrow the questions displayed by setting a status and/or result filter.

Status filter options include:

  • Not Started

  • Draft

  • Complete

Result filter options include:

  • Yes

  • No

  • N/A

Complete Documentation

The central activity of an audit assignment is completing the Observation documentation. This activity includes answering questions and, where required, providing additional details such as comments, recommendations, and pictures for reference.

Responding to Questions

For each question, do the following to complete the Observation Documentation:

  1. Review the audit question.

  2. Type the answer in the provided space if the audit question requires a text answer.

  3. Click the appropriate button displayed beneath the question. The options will usually be Yes, No, and N/A (not applicable).

  4. If the answer to the question is Yes or N/A, adding additional details is optional. If the answer is No, some additional details are required.

Adding Additional Details

Additional details include comments that provide important context and/or recommendations based on the result of the Observation.

If the answer to the question is Yes or N/A, add additional details by clicking the "Additional Details" button. If the answer to the question is No, the additional required fields will be displayed.

Observation Details Example

Type comments/recommendations in the provided space. If images are available, they can be uploaded by clicking the icon. The Manage Images guide provides detailed instructions for uploading and managing images.

If the answer to the question is no and the audit type is "Manage to Resolution," a corrective action must be assigned to a Team Member. To do so, click the "Assign To" dropdown and select a Team Member.

Remember always to click the "Update" button to save the additional details.

Completing the Observation

When all questions have been answered and marked as complete, a banner message with a button to complete the observation is displayed.

When the button in the banner message is clicked, a confirmation popup will appear. This popup confirms the desire to finalize the observation, which will then be submitted and set to read-only. The subsequent steps depend on the modONE administrator's audit assignment settings and the observation's outcomes.

Confirmation and Next Steps

In some cases, the ability to notify Team Members about their corrective action assignment is the next step.

Create Notifications

To inform Team Members about their assignment, simply select their names by clicking the checkbox beside each name. You can also copy other Team Leads by clicking the checkbox beside their names. Once you have selected the desired recipients, click the Notify button to send the notifications.

Document Actions

When an audit is set to "Manage to Resolution," completing the corrective action documentation is the final step in the audit assignment. Team members who are assigned corrective actions will document the steps they have taken to resolve the deficiencies or issues identified during the audit observation and submit them as part of the overall audit documentation.

To access a corrective action, a Team Member can either click the link in the notification they received about the corrective action assignment or navigate to "My Audit Assignments" in the Team Member portal and select the corrective action assignment from the My Corrective Actions section of the assignment list.

Once in the Corrective Actions module, all of the actions assigned to the Team Member are displayed. For each required corrective action, the observation result is displayed, providing important context for the corrective action assignee.

Corrective Action Documentation

In some cases, corrective actions may take some time to implement/complete. In those cases, the first step is to set a due date and click update. This will mark the corrective action as in process (signifying to the Team Member and any other reviewer that the action is in process and when they can expect it to be completed).

If the corrective action is straightforward and can be completed immediately, set the due date to the current date and complete the remaining documentation.

Document the actions taken to address the identified issue in the Corrective Action field. If images are required to support the action, click the icon and follow the prompts to upload. See the Manage Images guide for detailed instructions.

When the corrective action is complete, click the "Mark Complete" checkbox and click the Save button.
