Team Roster Up to Date

Maintaining the Team Member roster is an important responsibility of the modONE Administrator. An accurate roster ensures new Team Members participate in the organization's safety program. Removing terminated Team Members is equally important so they no longer receive modONE alerts and notifications. modONE recommends updating the Team Member roster at least every other week. See the Manage My Team guide for detailed instructions.

Out of Office Requests

The Out of Office process is a mechanism for Team Leaders and Administrators to indicate to modONE that a Team Member is out of the office and unable to respond to the active call to action and/or log attendance for the active safety topic.

When a Team Member status is out of the office, modONE updates the engagement statistics accordingly. If the Team Member received the active content, their call to action status will be marked as confirmed, and the out of office reason noted. If the Team Member is expected to log attendance, their logged status will be noted as logged, and their attendance status will be marked as no.

Out of Office Manager

Team Leaders can make an out of office request for one of their Team Members through the Team Member portal (see the Team Member Portal "My Team" guide for instructions). The Out of Office request icon will change to an exclamation point when a request is outstanding. Click the icon to review and accept/reject. modONE Administrators can directly set out of office status by clicking "Out of Office Requests."

When the Out of Office Manager is visible, do the following to approve/reject and set out of office requests:

  1. The list of Team Lead out-of-office requests appear at the top of the window. The Team Member's name, location, out of office reason, and available actions will be displayed. For all out of office reasons except "terminated," the options are accept or reject the request. If the out of office reason is "terminated", the options are deactivate or delete the Team Member.

  2. To set a Team Member's out of office status directly, click the radio button beside either Attendance or Content to indicate whether you are setting the out of office status for Team Members expected to log attendance or those expected to respond to the active content's call to action.

  3. Click on the safety topic dropdown to choose an active topic (note that if there is only one active topic, this dropdown will not be clickable). Choosing the topic will populate an alphabetical list of eligible Team Members. To filter the list, click the icon to show the Team Member filter options.

  4. Scroll to the desired Team Member, click the out of office reason dropdown, and choose an out of office reason. A comment field will then appear. This is optional for all out of office reasons except "Other".

  5. Click to save or to cancel and reset.

Hazard Safety Suggestions

modONE includes a feature that supports communication directly from the field. Team Members can submit observed hazards or safety suggestions directly to management through their Team Member portal (see the Team Member Portal guide for instructions). The status of the request is monitored from submission to response to closure.

Hazard/Safety Suggestion Manager

When a submission is made, modONE Administrators are notified via the Dashboard that a submission is awaiting review and response. Click "Hazard/Safety Suggestions" to activate the Hazard/ Safety Suggestion Manager.

Hazard/Safety Suggestion Detail

To respond, type a response in the "Submission Response" input field and click the "Submit" button. The Team Member who submitted the response will be notified through the Team Member portal that a new response has been received.

Content Schedule

The Content Schedule alert lets modONE Administrators know if no new content is scheduled over the next 30 days () or if a content conflict () is detected. Click "Content Schedule" to open the modONE Scheduler. See the Schedule Content guide for detailed instructions.

Communication Exceptions

The modONE platform monitors all email and SMS notifications to ensure proper delivery. If, for some reason, modONE detects an issue, it will be flagged as a communication exception. To view all communication exceptions, click "Communication Exceptions". A window will appear that lists exceptions over the last 30 days. Click the timeframe dropdown to choose a different timeframe. Today's exceptions are highlighted in bold. Resolving an exception usually entails confirming and updating an email address or phone number.

Audit Reviews

Customers who use modONE's Compliance Audit Feature are notified when they have an action to take on an active audit. Click "Audit Reviews" to open the Compliance Audit module. See the Create and Manage Audits guide for detailed instructions.
